Thank you for choosing Swag Sisters LLC to support your organization and/or relocation needs. We are excited to partner with you and are committed to providing exceptional service tailored to your specific project. These Terms of Agreement (the “Terms”) are designed to clearly outline the scope of services, expectations, and communication practices for your project (the “Project”).
1. Scope of Services
Swag Sisters LLC offers a variety of professional organization and relocation support services, which may include: Time spent onsite at your home or business organizing, arranging, packing, unpacking, sorting, and consulting about the Project. Time spent sourcing or purchasing supplies (please note: the cost of supplies is billed separately and is not included in service fees). Development of a personalized organizational design plan, including time spent researching and designing customized solutions. Coordination and scheduling of appointments with third-party service providers (e.g., movers, cleaners, donation pickups). Communication and follow-up via phone, email, or text for up to two weeks following the completion of your Project. Any additional services mutually agreed upon in writing prior to or during the course of the Project.
2. Payment Terms
Rates & Billing: Services are billed at 3 hour minimums. (“Session”) the rate agreed upon prior to the start of the Project. A minimum number of hours may apply, depending on the scope of work. At the outset of this Project, we anticipate requiring a minimum of four (4) sessions, each lasting approximately three (3) hours, for a total of 12 hours (the “Estimated Hours”). Services will be billed at a discounted rate of $90 per hour, reflecting a 10% discount on our standard rate of $100 per hour. Should the Project exceed the Estimated Hours, additional time will be billed at the same hourly rate. Payment for packaged services and virtual organizing shall be completed prior to your first session by credit card or check. Payment for additional hours is due on-site at the time of service, unless other arrangements have been made in advance.
Invoices: Clients will receive an invoice at the conclusion of each session or on a weekly basis for ongoing projects. Accepted Payment Methods: We accept payments via cash, check, PayPal, Zelle, or Venmo.
3. Cancellation & Rescheduling Policy
Notice Requirement: Please provide at least 24–48 hours' notice to cancel or reschedule a session. Late Cancellations: Cancellations made with less than the required notice may be subject to a [50%] session fee. No-Shows: If no one is available to allow access at the scheduled time, this will be considered a no-show and billed at the full session rate. The Swag Sister organizer shall wait at the location of a session for 15 minutes past the time of the scheduled session. After 15 minutes, you shall be considered a no-show, and charged in full for the session.
4. Travel Policy
Swag Sisters LLC is based in the Indianapolis area. The Project fee includes travel time of up to 30 minutes round trip. For any travel that exceeds 30 minutes round trip, additional travel time will be billed at the Project’s hourly rate. For Projects located outside the greater Indianapolis area, the client agrees to cover all related travel expenses. These may include but are not limited to: mileage (billed at the current IRS standard rate), airfare, parking, tolls, meals, and overnight accommodation, unless other arrangements have been agreed upon in advance.
5. Client Responsibilities
To ensure a successful and efficient project, clients agree to: Be present (or ensure access is available) during scheduled sessions unless prior arrangements have been made. Communicate honestly about preferences, expectations, and any limitations (emotional, physical, or logistical). Understand that decluttering and organizing is a collaborative process. Final decisions on keeping or discarding items remain the client's responsibility.
6. Communication Policy
The preferred method of communication outside of on-site Project work is email, as it allows for clear and consistent documentation. Occasional phone calls and text messages are also acceptable, unless otherwise specified. Swag Sisters LLC regularly monitors email correspondence, primarily during business hours: Monday through Friday, 8:00 a.m. to 6:00 p.m. Eastern Time. As we are often engaged with clients throughout the day, we will respond to your inquiries as promptly as possible, typically within one business day.
7. Donation Drop-Offs, Product Shopping & Additional Services
Swag Sisters LLC is happy to assist with donation drop-offs and shopping for organizing products as part of your Project. We can also provide recommendations and/or coordinate arrangements for additional services such as trash removal or document shredding. Time spent on these services will be billed at the agreed hourly rate. You agree to reimburse Swag Sisters LLC for any authorized expenses incurred on your behalf. Receipts for purchases or expenses will be provided at the time of the final invoice.
8. Third-Party Coordination
At your request, Swag Sisters LLC may serve as your liaison with outside service providers (e.g., movers, contractors, carpenters). However, you are required to contract directly with such providers, and all financial and legal responsibility remains between you and the third party. Swag Sisters LLC does not assume responsibility for the actions, omissions, or performance of third-party vendors. By signing this agreement, you agree to hold Swag Sisters LLC harmless for any issues arising from work performed by those service providers.
9. Packing and Unpacking Assistance
At your request, Swag Sisters may assist with packing your belongings for relocation to a new residence or storage facility. Our team will use standard packing methods and take reasonable care to pack items efficiently, while following your guidance and specific requests. You are responsible for providing all necessary packing materials. If needed, a Swag Sister team member may purchase approved packing supplies on your behalf, and you agree to reimburse those costs in full. Receipts will be provided with your invoice. Swag Sisters does not accept liability for items that may be damaged, lost, or broken during transport or discovered during unpacking, and by signing this agreement, you agree to hold Swag Sisters LLC harmless for any such occurrences.
10. Legal and Financial Document Disclaimer
Swag Sisters LLC may offer general suggestions related to the organization, procurement, or retention of legal, financial, and accounting documents to support the overall efficiency of the organizing process. However, these suggestions are not a substitute for professional advice. All final decisions regarding such documents should be made in consultation with your certified public accountant (CPA), attorney, or financial advisor. Swag Sisters LLC does not provide legal, financial, or tax advice and shall not be held responsible for decisions made concerning these materials.
11. Photo & Media Release
With your permission, a representative of Swag Sisters LLC may take photographs of your space before, during, or after the Project. These images may be used for marketing purposes, including blog content, social media posts, and promotional materials. All photos will be taken and shared without any identifying personal information, and your privacy will be respected at all times. You may choose to grant or deny permission for any photos taken
12. Confidentiality
Swag Sisters LLC is committed to maintaining your privacy and trust. Any verbal or physical information shared or observed during the course of the Project will be treated as strictly confidential. This includes, but is not limited to, personal belongings, conversations, household details, and business information. Such information will not be disclosed to any outside parties without your express consent, unless disclosure is required by law.
13. Right to Terminate Services
Swag Sisters LLC reserves the right to terminate this agreement immediately under certain conditions, including but not limited to: If the client requests the organizer to engage in any illegal, unethical, or immoral activity. If there are reasonable concerns about the health, safety, or welfare of any Swag Sisters LLC representative. If the work environment contains hazardous, unsanitary, or unsafe conditions, including but not limited to: the presence of mold, insects, rodents, animal or human waste, excessive dust, structural instability, or extreme temperatures. In such cases, services may be suspended or discontinued at the sole discretion of Swag Sisters LLC without further obligation.
